Position Summary:
Provides direction and leadership and is responsible for managing the daily operations within Executive Home Care.  The Office Manager oversees the daily operations of the agency, ensuring smooth scheduling, exceptional client service, caregiver support, and full compliance with AHCA and franchise standards. This role is ideal for someone who thrives in a fast‑paced environment, loves solving problems, and is passionate about helping people. 
 
Minimum Qualifications: 
  • 1-3 years of experience in operations, scheduling, or management (home care or healthcare preferred).
  • Strong leadership and communication skills.
  • Ability to multitask and manage competing priorities.
  • Experience with scheduling software or CRM systems.
  • Knowledge of AHCA regulations (preferred).
  • High level of professionalism, confidentiality, and problem‑solving ability.
Essential Functions:
Operations & Compliance
       
Manage daily agency operations to ensure efficiency and alignment with franchise standards.
        Maintain compliance with AHCA regulations, documentation requirements, and internal policies. 
  • Prepare for audits, surveys, and licensing renewals.  
  • Implement and improve operational processes and workflows.
 Caregiver Management

       
Recruit, onboard, and support caregivers to ensure high‑quality service delivery.  
  • Maintain caregiver files, training records, and background screening compliance.  
  • Conduct performance reviews and coaching conversations. 
  • Promote caregiver engagement and retention.
Client Experience
       
Oversee client onboarding, care plan coordination, and service quality. 
  • Serve as the primary point of contact for client concerns and escalations. 
  • Monitor client satisfaction and implement improvements. 
  • Ensure timely communication with clients and families.
    Scheduling & Staffing  
    • Oversee scheduling to ensure appropriate caregiver‑client matches. 
    • Manage schedule changes, call‑outs, and coverage needs. 
    • Optimize staffing to reduce overtime and improve efficiency.
Business Support 
    • Track KPIs related to operations, scheduling, and service quality. 
    • Assist with budgeting, forecasting, and operational planning. 
      Support growth initiatives and process improvements. 
      Collaborate closely with the agency owner on strategic priorities.
  Working Environment Office environment.
 Position Physical Demands:
Walking, sitting, and standing with lifting limited to files and records typically not expected to exceed 5 pounds in weight. Extended time at a computer work screen and on the telephone.
Education

  • Bachelor’s degree preferred, or equivalent experience in operations or management.
